Copier Management Program
In these tight economic times, we all need to do our part in making the best use of University resources, and
Documents, Media & Mail (DMM) Copier Management Program offers many advantages.
DMM manages self-service copiers for University departments who prefer that a copy professional handle their
office copier needs. From selecting the right copier and making arrangements for delivery and installation, to
basic service calls and replenishment of supplies like toner and paper, DMM offers turnkey copier solutions that
address diverse department needs, saving the departments both time and money.
We are pleased to offer the UCSF community this convenient and economic solution for their office equipment needs.
Overview of program
- No leasing hassles. We deal directly with sales people. Charges are based on per copy use. Codes
are assigned to each user. We provide a monthly statement listing your copy totals and recharges made to your Fund/DPA.
- We manage all copier maintenance issues, which eliminates frequent service calls and gets copiers
back up and running.
- We supply toner and 30% and 100% post consumer content recycled paper. No need to order supplies.
Reduce or eliminate administrative time
- No need to generate a purchase order, since we'll be the ones leasing or buying the equipment.
- No need to review monthly bills from vendors for maintenance, lease payments and supplies. You only
pay a per copy price.
- No need to track individual copies, since DMM is responsible for tracking copier usage on a monthly
basis. A statement is provided monthly to the person in charge of each account. This statement includes the breakdown in
usage by each Fund/DPA and the amount recharged to that account.
- No need to order supplies such as paper or toner. We supply plain paper, 3-hole paper, and all
machine supplies.
Significantly reduce maintenance time
- Documents, Media & Mail Services is the key contact for all maintenance needs. No more
rising service costs, burdensome maintenance agreements, or tracking down a technician for machine repairs.
- Major copier parts are stored by DMM. This eliminates the time needed to order parts and results
in machines being serviced quicker. Additionally, by strategically partnering with key vendors who share the same
sustainability values of the University, we are able to place multi-function equipment that use less energy and
are environmentally friendly.
Convenience and ease of use
- Individual access codes for each account (tied to the department Fund/DPA) are set up on every
machine, allowing for universal access for all users to all copiers in the program.
- All machines can be from the same manufacturer. This uniformity enables users the capability
to easily operate each machine, which in turn eliminates the frustration and downtime of having to readjust to
different machines.
