Outgoing Mail

The Outgoing Mail division of Documents, Media & Mail Services processes all types of mail, such as First Class, Express Mail, Priority Mail, Registered, Certified, Insured, UPS, DHL, and FedEx which are processed and dispatched the same day of receipt.

Use brown envelopes for campus mail and white envelopes for mail going through the USPS.


Quick Facts

  • A franking number is to be used on all outgoing mail. A 4-digit number used to identify a department's budget authorization account for recharge of postage or other mail services, for example, ordering stamps, use of commercial carrier, etc.
  • The franking number should be placed in the upper left hand corner of the envelope or package.
  • Mail should be separated and bundled according to the type of mail (i.e. 1st Class, Book Rate, International Mail, Air or Surface).
  • All accountable and overnight mail (Certified, Insured, Registered, Express Mail, UPS, DHL, and FedEx) must be separated from the regular mail and accompanied by a Mail Services Receipt Form.
  • Airway bills for DHL or FedEx are no longer required. We are able to process and track packages since we are linked directly to the manifest system of DHL, FedEx and UPS.
  • Outgoing offers Business Reply Mail (BRM) service. Business Reply Mail allows departments to provide envelopes, cards, or labels that their correspondents can return without paying postage. If you response rate is 75% or less, Business Reply Mail can be cheaper than providing actual stamps or metered postage on the return mail pieces.
  • Documents, Media & Mail Services administers the University's Business Reply Mail permit and ensures compliance with USPS requirements. The U.S. Postal Service (USPS) requires specific formats for Business Reply Mail. Incorrectly prepared mail can be rejected by USPS.
  • First class is picked up by the Post Office twice daily, 1:30 p.m. and 5:00 p.m. Accountable and overnight mail and packages are picked up or mailed out by 4:30 p.m. Any mail left after 4:30 p.m. is taken to the Post Office by 7:00 p.m.
